What cloud based means for a clinic

With server software, the clinic buys a server, keeps it updated, backs it up and replaces it when it ages. With cloud based software, the vendor runs the system and the clinic signs in.

Where the data lives

Data is stored in Canada, hosted by OVH in Beauharnois, Quebec. We publish our subprocessors, the providers that process data on our behalf.

Data is encrypted in transit and at rest, and an activity log records who did what. Text messages are the exception: they travel over phone networks and aren't encrypted the way other data is. The details are in the Privacy Notice.

Working away from the clinic

Because the software is reached over the internet, the same account works at a second location, at home, or on a laptop at a home visit, with no extra payment or setup.

One account covers every location, with a clinic switcher, staff shared between clinics or kept to one, and patient balances that follow the patient.

Moving from server software

As part of onboarding we move your data over from your current software to the maximum extent possible. Every new clinic gets two private onboarding sessions for its team, and a live group training session runs every week.

Your clinic owns all the data and records in MapleDent Cloud, and you can export your data at any time.

Security

These safeguards are set out in the Privacy Notice.

  • Personal information is encrypted in transit and at rest.
  • Access is role-based, granted only to those who require it.
  • Our own staff use multi-factor sign-in to reach the servers.
  • Activity is logged, including access to records, and clinical records keep a version history of changes.
  • A documented breach-response process notifies affected clinics and patients where the law requires.

Canadian companies, Canadian law

Patient data is held by Canadian companies on Canadian infrastructure, governed by Canadian law, and we don't use US subprocessors for it.

Backups are kept on servers Maple Dental Software owns, on its own premises in Canada.

Your records and artificial intelligence

A clinic's records and patient information are not used to train artificial intelligence models, by us, by our service providers or by anyone else, except with the clinic's express written authorization. We do not use automated systems to make decisions about patients.

Phones and tablets

Install MapleDent from the browser onto phones and tablets like an app, with no app store. Staff see their day, the huddle, chat and task boards on a phone, and the clinic's tablets run as a patient kiosk.

The kiosk is a clinic tablet, locked with a PIN, where patients read and sign their forms. It locks itself again when they are done.

What cloud based software costs

MapleDent Cloud starts at $270 a month for dental practices, $180 a month for denturist clinics and $180 a month for hygiene clinics. There are no fees per computer, per screen, per staff login or per location, and no setup fee. See what dental software costs.

Support is available Monday to Friday, 6 am to 5 pm Pacific (9 am to 8 pm Eastern), and is part of the price.

Do we need a server in the office?

Can we move over from our current software?
Yes. As part of onboarding we move your data over from your current software to the maximum extent possible, and you can export your data at any time.
Does it send insurance claims?
Yes. Maple Dental Software is certified for CDAnet, CDHAnet and DACnet, so dental, dental hygiene and denturist claims are sent electronically to insurers.
Where is MapleDent Cloud available?
Across Canada, except Quebec, at this time.
