Pricing and billing
- How much does MapleDent Cloud cost?
- Starting at $300 a month for dental practices, $200 a month for denturist clinics and $200 a month for dental hygiene clinics. Hygiene clinics can also choose MapleDent Lite, starting at $100 a month. Prices are in Canadian dollars, before taxes.
- What changes the price?
- The monthly price depends only on how many providers of the practice's primary type it has: dentists in a dental practice, denturists in a denturist clinic, hygienists in a hygiene clinic. Assistants, reception, office managers and other staff are never counted, and neither are hygienists or denturists working in a dentist-led practice. Each starting price is for a practice with one provider. Each additional dentist adds $150 a month, and each additional denturist or hygienist $50 a month (10% less when paid yearly). Your exact price is put in writing on the demo call.
- Are there fees per computer, screen, staff member or location?
- No. Screens, workstations and staff logins are unlimited. A practice with several locations pays one price, with its providers counted across all of them, and no fee per location.
- Is there a free trial or a launch offer?
- The first month of every new subscription is free, and you can cancel during it without paying anything. Clinics opened within the last 12 months also get four months of deferred payment. Paying yearly takes 10% off.
- How does the new clinic offer work?
- A clinic opened within the last 12 months gets its first month free, then four months with nothing to pay. When those four months end, the deferred amount can be paid in one of three ways. Pay it as part of a year paid up front, at the 10% yearly discount. Pay it month by month, with each bill covering the current month plus one deferred month until all four are paid. Or pay it all at once with the next month's bill, with 5% off the four deferred months.
- Is there a contract or a setup fee?
- No. There's no fixed-term contract: billing is month to month, and nobody is ever required to commit to longer. Paying a year up front is optional and takes 10% off, and yearly payments aren't refunded. Onboarding, training and data migration support are included, with no setup fee.
- How can we pay?
- By pre-authorized debit or credit card. Credit card payments carry a processing fee, shown before you pay.
- Can our price go up after we sign up?
- Each clinic's Subscription Agreement differs, but MapleDent typically limits price increases for existing clients based on the Consumer Price Index (CPI).
- What is the difference between MapleDent Cloud and MapleDent Lite?
- MapleDent Lite is for dental hygiene clinics only, starting at $100 a month. It includes guided notes, appointment summaries, perio charting and comparison, scheduling, claims, manual recare, task boards and team management. The full MapleDent Cloud plan adds imaging and everything that runs on text messages: two-way SMS, automatic recare reminders, cancellation recovery and reputation management.
Switching and your data
- Can we move over from our current software?
- Yes. As part of onboarding we move your data over from your current software to the maximum extent possible, and you can export your data at any time.
- Where is our data stored?
- In Canada. MapleDent Cloud is hosted by OVH in Beauharnois, Quebec. The full list of service providers is on the Subprocessors page.
- Can a US government request reach our patient data?
- Patient data is held by Canadian companies on Canadian infrastructure, governed by Canadian law, and we don't use US subprocessors for it.
- How is our data kept secure?
- Data is encrypted in transit and at rest, our own staff use multi-factor sign-in to reach the servers, an activity log records who did what, and a documented breach-response process notifies affected clinics and patients where the law requires. Text messages are the exception: they travel over phone networks and aren't encrypted the way other data is. The details are in the Privacy Notice.
- Who owns our data, and what happens if we leave?
- Your clinic owns all the data and records in MapleDent Cloud, including patient records. You can export your data at any time, and when a subscription ends we provide a tool to export it in a commonly used format. After a transition period it may be deleted from active systems, except records that must be kept to meet legal or professional record-keeping rules. The details are in the Terms of Service.
Product, training and support
- Does MapleDent Cloud submit insurance claims?
- Yes. Maple Dental Software is certified for CDAnet, CDHAnet and DACnet, so dental, dental hygiene and denturist claims are sent electronically to insurers.
- Can patients book online?
- Yes. Recare reminder texts include a link where patients pick a time and book it themselves, and when an appointment is cancelled, patients whose availability matches get a text with a booking link. Both are part of MapleDent Cloud, not MapleDent Lite.
- What do we need to run it?
- MapleDent Cloud runs in the web browser on Windows and Mac computers, tablets and phones, with no server in the office. Imaging needs a Windows app on the computers that use it.
- Where is MapleDent Cloud available?
- Across Canada, except Quebec, at this time.
- Are training and support included?
- Yes. Private onboarding sessions for your team, scheduled open training sessions any client can join, and support are all part of the price. Support is available Monday to Friday, 6 am to 5 pm Pacific (9 am to 8 pm Eastern).
- What training do we get?
- Every new clinic gets two private onboarding sessions for its team. A live group training session runs every week, open to anyone at any client clinic, and recordings are available afterwards. Extra private sessions are $250 each. The details are in the Terms of Service.
